A good RFP is like a roadmap. It should guide providers to give you exactly what you need for your program. Writing a proposal request might seem like a simple process. However, the reality is that crafting a Request for Proposal (RFP) demands a strategic approach and thorough consideration. This article will guide you through the key elements of creating a compelling RFP and the crucial questions to ask to select an authentic and efficient program provider.

Key components of an effective RFP

1. Be specific and comprehensive

To enhance the effectiveness of your RFP, it’s important to go beyond basic details and provide a comprehensive view of your institution and program needs. Here’s how you can do that:

  • Institutional context:
    • Describe your institution’s academic philosophy.
    • Outline the strategic goals for the program.

  • Audience insights:
    • Highlight student demographics, including academic levels and fields of study to ensure providers understand the specific audience they will be catering to.

  • Past program successes:
    • Share examples of previous successful programs.
    • Identify what made them effective and any challenges encountered.

  • Program specifics:
    • Detail the minimum and maximum expected group sizes.
    • Specify the duration of the stay.
    • Include any preferred or required accommodations, guides, transportation logistics, and cultural experiences.

If detailed information is missing at the time of creating your RFP, it’s important to manage uncertainties and build a collaborative relationship with providers. Here’s how to approach it:

  • Acknowledge uncertainties:
    • Identify and acknowledge areas where specifics are still developing.
    • Clearly communicate which details are tentative.

  • Promote collaboration:
    • Express your willingness to work closely with the provider.
    • Highlight the need to fine-tune the program as more information becomes available. This approach not only helps set realistic expectations but also fosters a strong working relationship with the provider.

  • Evaluate flexibility:
    • Ask providers about their experience in handling evolving program details.
    • Ensure they can adapt and support your needs effectively as the program develops.

2. Have clearly defined objective and learning outcomes

What is the primary goal of your program? What specific learning outcomes do you want students to gain from this experience? Clearly defined objective and learning outcomes beyond the itinerary help providers tailor their proposals to meet your specific needs and ensure the program delivers the desired results.

For example, if the primary objective of your program is to explore Sustainability in South Korea, the focus should be on examining policy frameworks, community engagement models, and technological advancements aimed at addressing climate change in the country. The desired learning outcomes could include a comprehensive understanding of climate change dynamics along with the development of skills such as critical thinking, analytical abilities, and policy analysis.

3. Consider co-creating an impactful program design

Outline your program vision while remaining open to suggestions. Some providers like Authentica, offer to co-design the program structure from an academic standpoint and may be able to recommend relevant organizations, experts, or speakers for the program theme. Consider the following suggestions to incorporate in your RFP to enhance the impact of your program design:

  • Balancing academic and cultural immersion: Although academic enrichment is the primary goal of most programs, if you can recommend a ratio between academic and cultural immersion, it will assist the providers have a better understanding. Certain programs might have a stronger academic focus and retain an 80:20 ratio with 20% going toward cultural immersion. Some programs might use a 60:40 division as a more balanced strategy. It is easier for providers to adjust their offerings to meet your needs when this ratio is stated clearly.
  • Mention sample locations and activities: If you have specific activities or locations in mind while planning the program, include them in the RFP. This will help providers identify similar locations or activities that align with your vision. For example, if your program theme is exploring how innovation drives the booming economy in the UAE and you want this reflected in cultural immersion as well, your provider might suggest places like Masdar City, a sustainable urban community and technological hub, or the Museum of the Future.
  • Integration of guest lectures and site visits: You can detail your expectations for academic engagements such as guest lectures, workshops, and site visits to relevant companies or organizations. Highlight the importance of these components in enhancing the students’ learning experience and ensuring the program’s academic objectives are met. For instance, if your objective is exploring Singapore’s SME landscape, mention that students should visit social enterprises, attend workshops, and meet with local business experts to learn about Singapore’s economy, the role of SMEs, and business practices shaped by Singaporean culture.

4. Ensure robust program support & risk management

While filling out the RFP form, ask providers to detail their plans for on-ground support, including the presence of dedicated staff or coordinator who will assist students throughout their stay. Request information on 24/7 emergency contact services, local orientation sessions, and regular check-ins to ensure ongoing support. Additionally, inquire about their emergency protocols and risk management strategies. This should cover procedures for handling medical emergencies, natural disasters, and other unforeseen incidents, as well as how they will keep students informed and prepared. Including the relevant questions in your RFP ensures that you gather all necessary information to evaluate potential providers effectively. Here are some important questions to consider:
