Participation Agreement
Please read carefully as this document briefs you on all the legal implications.
- Participants are required to be over 18 years of age to be a part of the virtual internships program.
- The participation agreement (“Agreement”) is signed between the Authentica Ventures Pvt Ltd, a company incorporated in Pune, India with Certificate of Incorporation Number U74999PN2016PTC166873 with its registered office at 9 Madhuban, Bhusari Colony, Kothrud, Pune 411038, India and any of its subsidiaries (“Authentica”, “We”, “Our” or “Us”) and the individual who had applied, has been accepted into an internship program by Authentica or is currently enrolled in an Authentica-facilitated internship (“Participant”, “Candidate”, “Intern”, “You” and “Your”)
- This agreement is to govern the relations between Authentica and the participant who has applied has been selected or is currently a part of the internship program organized by Authentica. By applying to our programs and indicating your agreement to this agreement, you are acknowledging and agreeing to the following:
The Program
Our program provides an opportunity for the participant to work on an industry challenge based on your interest. The program also provides you with guidance from mentors who will closely monitor your work. By working on projects sourced from host companies, you will learn and develop skillsets relevant to that industry. We expect all the participants to clearly manage/communicate their expectations before enrolling in our programs. We also want you, the participant, to confirm your commitment towards completing the project(s) to the best of your abilities.
Application Process
In order to be selected for an internship and to enroll in the program, you must specify the top three industry sectors of your choice from the range of industries mentioned in the application form, along with your preferred start date.
Applying/enrolling in the program doesn’t guarantee an internship position. We reserve the right to reject applications we deem unsuitable for the program during the primary screening phase and also during the post-interview phase. Authentica is an equal opportunity provider and we do NOT discriminate on the basis, or color, religion, race, sex, sexual orientation, gender, age, national origin, citizenship, disability, pregnancy, or any other legally protected characteristics.
Acceptance
If you are successful through the screening rounds and are matched with one of your top three preferred industries, you will be emailed an “Offer letter” asking you to sign an agreement with the host organization. You are required to accept the offer letter within a week to officially start the program.
Fee
The program fee is divided into two parts. First, you are required to pay an initial deposit if you qualify for the matching phase post your interview. This fee is refundable only if we fail to find you an internship position that matches one of your top 3 choices that you selected during your application. If you are given internship opportunities that match one or more of your top 3 choices, and you fail/refuse to pick one of them, then the deposit will be non-refundable.
Once you accept an internship placement, you’ll be sent a payment link with the balance of the program fee, along with your offer letter. You are required to pay this balance amount along with your acceptance of the offer letter. Once you accept a placement, the balance fee is non-refundable.
Payment Schedules
If you are successful in the interview phase, we will send you a payment link for the deposit, along with additional information about the matching process. The matching process will begin after you make this deposit payment.
Once the matching process is complete and we have an internship placement for you, we will send you the offer letter along with a balance payment link. You are required to accept the offer letter and make the balance payment within one week from receiving the offer letter.

Your commitment and code of conduct:
Your commitment
Your program requires your remote presence and engagement during the entire program. Accordingly, you are required to have access to:
- Working computer/laptop
- High-Speed Internet connectivity
- High quality visual and audio equipment (inbuilt or external) for video calls
- An environment is suitable for remote work.
Code of Conduct
As part of your program, you’ll be in correspondence with various stakeholders that are here to help you complete the industry-focused projects you are enrolled in. You are required to complete the project’s deliverables in a timely manner and attend webinars and submit your project work.
You are required to be punctual and have a positive outlook during your internship experience. We expect you to communicate respectfully and courteously with your host organizations, teammates and mentors.
The project you are working on may require you to have access to confidential data and industry practices, a list of clients and customers, personal, financial and business information from your host company, that is designated as confidential information. You agree not to disclose this data to any third party. If you wish to include any of the confidential data in a report, you are required to get a written NOC (No Objection Certificate) from your host organization.
An NDA (Non-disclosure Agreement) will also be signed between Authentica and You and You and the host organization before the start of the internship.
You agree to fully co-operate during the process of matching you with a host organization. You agree and adhere to our code of conduct before and during the internship program. Examples of non-cooperation include but are not limited to:
- Not being a part of your project team or not supporting your project team on assigned team tasks.
- Skipping / missing scheduled interviews, webinars and mentorship sessions.
- Not responding to your project co-ordinator from the host organization in a timely manner. You are required to reply to their emails within 1 business day (unless there are medical emergencies)
- Unreasonably refusing internships offered to you.
- Dishonesty, including submission of forged university transcripts or fake work / volunteer experiences on your resume, forged recommendation letters, etc.
Participants who are deemed uncooperative before or during the internship program will be dropped from the program. Such participants may re-join the program at the discretion of Authentica but only if they comeback with good faith and commitment
Breach in code of conduct
In situations where you fail to co-operate or comply with the host company’s rules or the rules of the program, you will be given a notice and Authentica reserves the right to cancel your participation in the program.
We reserve the right to expel any participation from our program at our discretion for reasons including but not limited to unlawful behaviour, causing trouble to fellow participants, bullying and harassment towards other participants, etc. Participants with anti-social or unreasonable behaviour and unfit conduct towards any stakeholder of the program will be served a notice. Recurrence of this behaviour will lead to expulsion from the program with immediate effect.
We are not obliged to find you another internship if the host organization cancels your internship due to your lack of punctuality, absence, unresponsiveness, tardiness or any such behaviour hindering the project.
All the above provisions are subject to mitigating circumstances which the participant can prove. In such cases, we will work closely with the participant to resolve the situation.
Refunds
Only written cancellation notices will be considered.
- A participant can cancel their application before the deposit payment phase at no cost
- Once the deposit is paid, if the participant withdraws from the matching phase, only 50% of the deposit will be refundable.
- Once the participant is offered an internship and then decides to drop from the program, no refund of the deposit will be given to the participant.
- Once the participant accepts the internship and pays the balance, no refunds will be entertained
Cancellations due to mitigating circumstances
Authentica will consider the following circumstances for program fee refunds:
Medical Illness: In this case, you are required to submit documentary evidence from the hospital/doctor conforming to medical grounds that you are advised to not participate in the program
Death of an immediate family member: For the purpose of this agreement, we consider a spouse, civil partner, children (adopted/step), parents (including step-parents), siblings (including step siblings), in-laws and children-in-laws as family members. In case of death of any family member before the program start date of during the program, the obtain the refund the participant will have to submit a written letter with attested death certificate and your relation to the deceased, location and date of death with your signature.
Program Variation Requests
We request you to inform us in writing about any variation that you would want. Authentica is not obliged to deliver the request but will try to accommodate the request. Once placed in an internship program you will not be eligible for any variation. If you wish to change any program criteria, then an additional administrative fee of $150 is applicable.
Variation by Authentica
If Authentica cancels a program you are matched with; we will find you another alternate program that matches your original application criteria. If we fail to find such a placement, you are entitled for a full refund from Authentica. Authentica reserves the rights to change the internships framework and partners with our discretion and without any consent from participants.
Accuracy
The content and information on our website, promotional materials, social media and other communication is believed to be valid and correct but there could be mistakes and we are not liable, and you shall not hold us liable to such misinformation and ambiguities with regard to the content. We request you to apply for the program only after checking its price on our website.
Force Majeure
Authentica is not liable for any changes or cancellation of the program due to the following circumstances: war, terrorism, civil strife, riots, industrial disputes, natural disaster, chemical disaster, biological disaster, virus outbreak, floods, climate and environment concerns, government acts and acts of god any circumstances which leads to a force majeure situation. In such cases, no refunds or compensation to any losses and damages will be given to the participants by Authentica.
Data Protection and data sharing
You agree to provisions which are mentioned in our Privacy Policy regarding the collection and processing of your personal information.
As part of the data regulations, we are the data controllers and our stakeholder (host organizations) are data processors with respect to any personal data.
Our suppliers will only process the personal information according to our guidelines from time to time and they shall not use the information for processes which are not authorised by us.
Authentica Liabilities
You, individually and on behalf of your heirs, successors, assigns, and personal representatives, hereby release and forever discharge Authentica, its stakeholders and employees , agents and representatives (in their official and individual capacities) from any and all liabilities for any and all damages, injuries and losses (including death).
We have a duty to provide you with different host internships matching your industry and skillset. We have no liability to you for the provisions of the programs, except in cases where it has been proven that we have breached that duty and damage to you has been caused.
We assume no liability for any third-party behaviour or actions, including but not limited to those host organizations.
Our liability is limited by the actual amount paid by you to us for the program.
We are not responsible for any liability regarding services and facilities that are outside of your program scope.
